Renewal of South African passports

We have recently had to renew our daughter's passport in order for her to go on a student exchange program to Germany next year. The procedure on what to do and where to find information is still fresh in my mind and I would be more than willing to share it with anyone who is interested. I plan to also write it up and post it here at some point, but this is just a heads-up if anyone needs information about this issue.

I renewed my passport about a year ago. Took about a month to get back to me!

The most time involved was having to make an appointment at the local Police Station to have my fingerprints taken. Got some funny looks on that one too!

Ek het so 'n ruk terug belowe om die prosedure en vereistes van paspoort hernuwing te plaas. Voor ek nou heeltemal vergeet wat ons gedoen het, hier is die "checklist" :

  • Paspoort aansoekvorm. BI-73 (instruksies aan die einde van dié vorm).
  • Gewaarmerkte afskrif van vorige paspoort. Die aansoekvorm sê die oorspronklike paspoort moet saamgaan, maar dis nie nodig nie. Hiervoor het jy 'n notaris van ede nodig (vra sommer jou naaste SA prokureur :)).
  • Volledige stel vingerafdrukke. Ons het dit sommer by die RCMP Kriminele afdeling gedoen teen $25. (Hulle het ook 'n vorm verskaf vir die vingerafdrukke). Op die BI-73 vorm is daar ook plek vir 'n duimafdruk - moenie hiervan vergeet nie!
  • Twee paspoort fotos. Fotograaf moet agterop teken, stempel, datum, volle name van aansoeker (blokletters) en SA-ID nommer, presies35 x 45mm groot,
  • Kinders bo 16 moet volgens die BI-73 vorm 'n ID dokument hê, maar die tannie in Ottawa het ons gesê dis nie rêrig nodig nie. Indien jy dit wél wil doen, moet jy vorm BI-9 invul, met nog 'n stel vingerafdrukke (so doen dit sommer dieselfde tyd as dié vir die paspoort).
  • Beëdigde verklaring dat jy nie 'n burger van 'n ander land is nie. <a href="http://www.sacanada.org/uploads/Affidavit for passport renewal.doc">Hier</a> is 'n pro forma brief in Word formaat.
  • Cad$17 per paspoort.
  • Groot, stewige, selfgeadresseerde koevert met posgeld op. Ons het sommer 'n CanadaPost Xpresspost koevert gekry, dis veiliger.

Ons meisiekind se paspoort het 3.5 maande geneem om by ons terug te kom.

PS. Daar is geen rede om te wag tot die ou ene verval voor jy aansoek doen nie. Kinders se paspoorte word vir 5 jaar uitgereik en dié bo 16jaar vir 10 jaar.

Mens moet seker eers vir hulle in Ottawa bel om die aansoekvorms aan te stuur?? Het jy dalks 'n tel nommer ook asb en dan vir kinders onder 16 (ons meisiekind word nou 5 in Mei - ek moet seker begin plan maak om haar paspoort te hernu), moet sy ook vingerafdrukke laat doen?

Is dit net 'n "notary public" wat sertifiseer, kan die RCMP nie dit ook doen soos in SA nie? want dis darem goedkoper. Hier vra hulle Ca$20 of 30 per A4 bladsy om te sertifiseer.

Daai twee onderstreepte vormname is eintlik links waar jy sommer die vorms van die Internet kan aflaai.

En nee, hulle is vol strooi, jong, dit móét 'n notaris publiek wees, die RCMP is nie goed genoeg nie.

It seems that there are some of our membership who are "Afrikaans challenged", so especially for you I will repeat the passport thing in English:

  • Passport Application Form. BI-73 (instructions at the end of the form).
  • Notarized copy of your previous passport. The application form states that you need to send the original, but that's not necessary. In order to notarize the photocopies you will need a notary public (grab your friendly ex-South African lawyer friend :D).
  • Full set of Fingerprints. We had this done at the RCMP Criminal Dept. for $25. (They also provided a form for the fingerprints). There is space on the BI-73 form for a thumb print too - don't forget about that!
  • Two Passport Photographs. Photographer has to sign, stamp, date, fill in full names of applicant (print) and SA-ID number on the back. These have to be exactly 35 x 45mm in size,
  • Children 16 and up has to have an ID document according to form BI-73, but the lady in Ottawa told us that's not really necessary. If you really want to do that, you need to fill in form BI-9, with another set of fingerprints (so do that at the same time as for the passport!).
  • Afidavit to state that you are not a citizen of another country. Here is a copy in Word format.
  • Cad$17 per passport.
  • Large, sturdy, self-addressed envelope with postage. We got a CanadaPost Xpresspost envelope. This is safer and easier to track.

Ek is nuut by die forum. Ek het die boonste paar briewe gelees, maar sien nie 'n antwoord op Galpil se vrou se vraag waar om aansoekvir hernuwing van paspooorte op die internet af te laai nie.

Eks tog te bly om weer hierdie 'thread' te sien, siende dat ons toe hierdie week met n skok agterkom dat die 2 kinders se SA paspoorte al in die somer verval het.

So eks nou ook ewe skielik baie geintreseerd oor presies hoe om te werk te gaan om dit nou weer te hernu.

"Afidavit to state that you are not a citizen of another country. I have a copy of such a letter here somewhere, just ask."

Hendie, kan jy groot asb so gaaf wees om die 'afidavit' brief vir ons hier te plaas.

Ek sal vreeslik bly wees en byvoorbaat dankie. Weer eens is hierdie forum vir my goud werd.

En dan n paar vrae ook asb :-)

Is dit verpligtend vir die kinders om ook vingerafdrukke te laat doen ?

En dan :

Ek't al gehoor dat jy n skoolhoof, dokter, die local MLA, iemand by die munisipaliteit of die Registries hier in Alberta, ens kan vra om dit vir jou gratis te doen. Het iemand dalk van hierdie mense onlangs gebruik hier in Calgary?

Kan iemand my vertel waar om die vorms te kry om die kinders se paspoorte te hernu? Ek het gehoor dit word Ottawa to gestuur en vat vir ewig. Is daar 'n vinniger manier? Miskien as mens dit SA toe pos vir familie .... sal hulle dit mag gaan hernu by die ambassade indien ons als hier invul?

Your local MLA (member of the Legislative Assembly, Provincial government ) will make copies of your original documents, notarize and sign them for you for free. Do a search online, eg "Calgary + provincial MLA" and leave a phone or email message and someone from their office will get in touch with you. Its a free service from your MLA and I have seen in the past they are eager to help and get to know those in their constituency.

Passport and other official pics can be taken at your local Wallmart, at $11.95 plus tax for 2.

The SA High Commission and the honorary consuls will generally do all the fingerprints, affadavits etc for free (well, its built into the fee you are paying to renew a passport). If you are near one, have a chat to them, rather than paying to have documents notarised by a Canadian notary.

This post has come at a very appropriate time as we are looking into renewing of passports and applying for dual.

Just a few questions:

Does a 6 year old also have to do finger prints for renewing of a passport?

Do we have to renew or reapply if the passports have expired? (2000 and 2003).

:):blink: Have not needed to use them up until now. Never thought we would be going back.....

so does one just type up a copy of the affadavit or is this a ready made form that has to be got from someone/somewhere. your posting says this is a sample - I don't understand :rolleyes:

By clicking on the link, you get a pro-forma, a template, a copy of an affadavit. Consider this an example, and just type over it to fill in your own details. Take care to replace dates, place names, place holders for ID numbers, and your (or your child's) name, and of course the name and address of the attorney.

I am not aware of any official form that could be used. This one worked for us. :rolleyes:

OK, ek's nou lekker deurmekaar - het sopas aftergekom die kinders se SA paspoorte verval uuuhhh....more! Het nuwe inligting op die consulaat se website gekry - skuus Hendie as dit bietjie lank is... Verstaan net nie die vereiste op die vorm BI-73 dat die vorm moet gesertifiseer word deur 'n Home Affairs officer nie....Kan 'n gewone kanadese kommissaris van ede dit ook doen?

Die affidavid - dit lyk nie of dit meer nodig is vir kinders onder vyftien nie - is ek reg?

"To ensure that applicants receive their passports on time, they are advised to apply at least six months prior to their intended date of departure or date of expiry of passports. It takes 4 to 6 months to process a new South African passport. South Africans are required to keep their passports valid at all times even if not travelling.

Major South African citizens holding dual citizenship must enter or depart from South Africa making use of a South African passport only.

Documentation required and instructions for completion of forms for a passport:

Duly completed forms: BI-73 (2 sets for applicants over the age of 15) , BI-529E . Make sure that forms BI-73 are duly completed with signature and thumbprint, and Section B is certified (no need for thumbprint for a child younger than 15 years of age). Form BI-529E must be completed by all applicants.

2 full set of fingerprints taken at a police station or a fingerprinting center (not required for children 15 years of age or younger). Please note that fingerprints cannot be taken on a copy of form BI-9. Form BI-9 is an application for an ID book. It has to be requested from the High Commission.

For children 15 years old or younger: forms BI-73 , BI-529E must be completed

Certified copy of a South African birth certificate

Expired passport or a certified copy of current passport's relevant pages (page with a photograph and personal details)

Three (3) recent clear identical passport size photos of the applicant. Please see the description:

Photographs

Photographs must comply to the following specifications:

Length - 45mm

Width - 35mm

The background of the photograph shall be plain and free of shadows and shall not have a white lining

Only the head and shoulders of the person concerned shall be included in the photograph and the head from the chin to the top of the hair shall not be smaller 22mm and not larger than 25mm

The person concerned shall be photographed without any head-gear or veil, and any other additions to the face which tend to alter the natural likeness shall be removed. (The Director-General may exempt any person or any category of persons from any of these requirements.)

Spectacles may be worn provided that the lenses do not make the eyes invisible. Spectacles with dark lenses may be worn if the eyes will appear distorted without them or if the person is blind

The full-face of the person concerned shall be photographed directly from the front, and the head may not be bent or tuned sideways

The face shall be a recognizable likeness of the person and the head, hair, eyebrows, eyes, nose and moustache or beard, if any, shall be sharply and clearly defined

Neither the photograph nor the copies thereof may be defaced by holes, pencil or ink marks or in any other manner

The Director-General may reject the copies of the photographs if they do not, in his or her judgment, comply with the requirements mentioned above, or if he or she deem them unsuitable in other respects, in which case the person concerned shall provide two new copies at his or her own cost.

Adult Applicants residing in Canada for three years or longer must submit one of the following:

A notarized sworn affidavit stating that they have not applied for Canadian citizenship or citizenship of any other country;

A letter from Immigration Canada stating that they have not applied for nor was granted Canadian citizenship, or;

A copy of the letter from the Department of Home Affairs granting permission to the applicant to hold dual citizenship. or

If an applicant was a minor at the time of obtaining citizenship of a foreign country, a certified copy of this country citizenship certificate showing the date when he/she became a citizen

Passport fees: 16 $ CAN for temporary, 24 $ CAN for children and 32 $ CAN for adults. Frequent travellers may apply for a maxi passport (64 $ CAN). Fees are payable by money order or certified cheque only made out to the South African High Commission. Personal cheques will be returned.

A pre-paid self-addressed envelope for the return of your passport (Canada Post: Priority/Xpresspost or couriers such as FedEx, Purolator, etc)

In case of emergency an application for a temporary passport may be submitted:

Our esteemed Honarary Consul in Vancouver Mr Chris Meyer also certifies and will type up the avidavit for free. Fingerprints do get charged for though.
